Terms and Conditions
Rental terms for Bay Area DJ equipment bookings.
These terms explain the standard responsibilities for quotes, deposits, delivery, setup,
cancellations, equipment care, and returns.
Last updated: April 20, 2026
These terms are a practical rental policy template for Bay DJ Rentals. Replace or review them with qualified
counsel before using them as binding legal terms.
1. Quotes and Reservations
Quotes are based on the equipment requested, rental date, delivery location, event schedule, access
conditions, and technician requirements. A reservation is not confirmed until Bay DJ Rentals accepts the
booking and any required deposit or signed agreement is received.
2. Payment and Deposits
Deposits may be required to hold equipment for a date. Final payment is due before delivery, pickup, or
release of equipment unless a written agreement states otherwise. Additional charges may apply for late
pickup, overtime, parking, tolls, stairs, long carries, waiting time, after-hours pickup, or added equipment.
3. Delivery, Setup, and Pickup
The customer is responsible for providing accurate venue details, safe access, parking or loading
information, and a responsible contact on site. Delivery and pickup windows must be approved in advance.
Delays caused by site access, event changes, or missing contacts may result in added fees.
4. Customer Responsibilities
The customer must use rental equipment safely, keep it dry, protect it from theft or damage, and prevent
unauthorized modifications. Equipment may not be moved to a different location, left unattended in unsecured
areas, exposed to rain, overloaded, or used in unsafe power conditions.
5. Damage, Loss, and Missing Items
The customer is responsible for loss, theft, damage, missing cables, missing accessories, and cleaning costs
during the rental period. Replacement or repair charges may be billed at current parts, labor, and replacement
value.
6. Cancellations and Date Changes
Cancellation and date-change terms may vary by event size, rental package, and notice period. Deposits may be
nonrefundable when equipment has been reserved, staff has been scheduled, or the date can no longer be
reasonably rebooked.
7. Outdoor Events and Power
Outdoor events require safe cover from weather, level placement, and reliable power. Bay DJ Rentals may
refuse setup or pause service if rain, wind, unsafe electrical conditions, unstable surfaces, or other hazards
could damage equipment or create risk.
8. Liability
Bay DJ Rentals is not responsible for event interruptions caused by venue restrictions, unsafe power,
weather, customer-provided equipment, performer equipment, internet issues, third-party actions, or access
delays outside our control. Any liability is limited to the amount paid for the affected rental unless
otherwise required by law.

Questions about rental terms can be sent to bookings@baydjrentals.com or discussed during the quote process.
